September
10, 2013
Board
members in attendance: Jason, Stuart, Bernice, Jeanine, Michelle.
Community
members: Michelle Lawrence.
1.
Calendar Items
a.
Next Board meeting October 8th at
Bernice’s home
2.
Budget
a. Account
balances doing well. Savings goal of
$4175 already achieved this year. Gate
deposit of $2000 paid this month. Most
monthly HOA dues paid in full. One home
to attorney by the end of the month.
3.
Discussion Items
a. Proposed motion to extend deadline
for all community members to complete yards by July 1, 2014, and all currently
issued fines waived. Vote failed
3-1. Proposed motion for any future
extensions on incomplete yards or areas left open for future development
(cement patio, garden area, etc) to be reviewed by Board as a case by case
scenario. Vote passed 4-0.
b. Efrain has committed to complete
metal work on gates by end of September.
No deadline for openers and electronics at this time due to company to
complete the work has not been selected.
Jason to ask Efrain to add the mag lock mounts to the actual gates
instead of original plan to add the locks mounts to a center post in the
road.
c. Still considering Vantage Voltage
for contract. New bid from Buchanan
under consideration. Board will vote at
next board meeting or via email (if needed before meeting on October 8th)
once bids are finalized.
d. Unknown if additional money will be
requested from Fieldstone because the final cost is still undetermined.
e. Jason is working on getting new
bids for a snow removal contract. Jason
suggested we try to find a company that is closer in proximity to neighborhood
vs. All Seasons which is based in Sandy.
Jeanine and Stuart also said they knew of companies that could give us a
bid.
f. Board agrees that new amendment
should be mailed to each home instead of just sending in an email. Jason said he could include a copy of the
newsletter at the same time which would have the instructions about parking
trailers and RVs at the park lots.
g. If children are witnessed
vandalizing private property or the parks, and offense is reported to the
board, board could approach the parents if offense is severe enough. All homeowners and board members should be
vigilant in watching the kids and educating them on being respectful of other’s
property.
h. Stuart’s
message is written. Ideas for gate
section: include update that the metal
work is currently being completed and that a company for the electronic work
will be selected soon. Explain what Efrain’s company is doing for
repairs (sand blasting, repairing the metal, galvanizing the steel, powder
coat, replacing the hinges with stronger ones), make mention that Bach is
helping with cost of repairs. Clarify wording in newsletter that RVs and
trailers must be stored behind a fenced area on private property. Also, if you have space to fill, a reminder
for people to remind their kids to be respectful of people’s yards and the
parks (like Jeanine’s tree branches that were broken), and to leave the
sprinkler heads alone so the grass is watered properly.
