a. Financial Report
Question: why was snow removal so high?

The company that took care of our snow removal last year did not do a good job at plowing the snow early in the morning.  Ice built up on roads and they had to bring in heavy equipment to clean out.  We are making sure that company this year will not extend that cost to the HOA if they do not take care of the roads correctly.
Question: why have we gone through so many landscape companies?
We decided to not sign a new contract with the company from last year because of the poor job they did during the winter.  The new company that we did hire sold out to a new company and we weren’t very impressed with the service provided to our community.  The new company is located in West Valley and both Jason and Jeanine are familiar with them and know they do good work.

3. Discussion Items
a. Gate update (repairs, installation, operation)
Cost to get gates resealed and repainted $4000. Good deal.
Cost for electronics about $17,000
New motors - commercial grade (will last a long time and be fairly low maintenance).
Hoping to get more money from Fieldstone to cover the remaining amount.
Bach to cover lots they built, $4500 from Fieldstone, $4000 from Comcast

***Would like to have gates closed and operating by November 30th***

Poll taken to see when gates should be opened and closed.  Decided to have gates closed except from 6:00-9:00 am and then open again from 4:30-6:00 pm.  They will be closed all day on weekends.

b. Gate remotes and code
LiftMaster remote will be needed. If you don't have one, they can be ordered from the company doing the electronics (get a price from Stuart) Need to contact Stuart to have remote programmed

Question: can any other remotes work?  Stuart or Jason to find out.
Code will be changed every 6-12 months.  PLEASE CONTACT A MEMBER OF THE HOA BOARD FOR THE CODE.

c. Reserve study recommendations and 2014 budgeting
Law requires a reserve study be completed
Company came in to assess the cost of repairs once items need to be replaced or repaired. Gave recommendation of how much the fee should be.

If any homeowner would like to see the full report, they can email Jason and he will email that to them.
Board is proposing $10 fee increase starting January 1, 2014. Further increases will need to be made in following years to reach recommendation.

d. Snow removal and parking on streets
County ordinance - no parking on road when snow is present from November 1 to March 31 - vehicle will be towed at owners expense.
Question: keeping snow away from mailbox area.  Jason will contact new company to make sure they do that along with shoveling sidewalks right outside gate
Dog owners clean up mess from their pets
Question: parking on streets when snow is not present. Clarification that parking on streets is allowed. Asked owners as a common courtesy to not park on streets.  Interest shown in changing rule.
