May 2015 Meeting Minutes

Copper Valley HOA
Meeting Minutes May 12, 2015
In attendance:  Jeff, Michelle, Misty, Becky, Jason, Stuart (community member).  Excused- Raegan
1.       Calendar Items
a.       Next board meeting, June 9th at Jeff’s
b.      Community breakfast on June 13 at 9 am
2.       Budget
a.       Financial Report: recent unplanned expenses with flood, street light repairs, and gate maintenance.  We’re slightly over budget, but luckily snow removal was a minimal charge this year, which will help with other expenses.  Several homeowners still behind on HOA payments.  SEB and Jason’s office working to collect money.  Legal action pending for four homeowners.
3.       Discussion Items
a.       New board to familiarize themselves with the CCRs.  Jason provided a copy of CCRs for board members.
b.      Purpose of board to enforce CCRs and make decisions.  Jason here to support board and give info, also to handle the day to day business stuff.
c.       Jason to respond to emails first.  Board can comment or give opinion to him.  He will respond with what is decided.
d.      Board members to avoid taking complains or requests personally from individuals.  Ask homeowners to use HOA email so everyone on board is aware of the situation.
e.      Vote 4-0 to deny request for yard extension.  Fine reduced to $200.  Homeowner has until May 31, 2015 to complete work to avoid future fines.
f.        Park sprinkler problems resolved.
g.       Becky to call the utility and delivery companies to notify about new gate code.  Stuart to change the code on May 31st.
h.      One homeowner has expressed an interest in having a yard sale this summer.  Will poll other residents at the summer breakfast to see if anyone else is interested.
i.         Roads are showing wear and tear.  Reserve study recommends work to be done.  Board votes 4-0 in favor.  Bid for crackseal accepted from Eckles Paving.  Work will be completed over two days this summer.  Details and dates pending.
j.        Detention pond is supposed to contain water until it can be absorbed by soil.  Nearby spring is capped per Field Stone.  Valve across from the pond was open and running.  Jason to check on the status of insurance claim for water damage.  Jason will work with landscapers/maintenance to find a way to secure valve box to prevent future problems. 
k.       Breakfast assignments:  Menu- pancakes, muffins, fruit, sausage, fruit, milk & juice.  Michelle-shopping for food and supplies.  Becky- flyer and disco grill for the meat.  Jeff- camp stove for the pancakes.
