Minutes for December 10, 2013 Meeting

Copper Valley HOA Board Meeting
December 10, 2013           

Board members in attendance: Jason, Stuart, Jeanine, Michelle, Bernice, Alisha
Community member in attendance: Michelle Lawrence

1. Calendar items:

a. Next board meeting January 14th at Michelle’s house

2. Budget:
a. Financial report
Currently no money in reserves due to payment of gate repairs. Hopeful to have money from Bach and possibly Fieldstone to build back up.
b. 2014 Budget review
Jeanine motions to approve the budget. Bernice seconds. Passes unanimous.


3. Discussion Items:
a. Gates:
-Efrain will be painting in the spring. Will need to do some rust removal.
-Payment from Bach. Jason sent an email to Brian with total from final bills. Jason is hopeful that Fieldstone may help pay. Has been talking with Troy. If not willing to pay for the full portion, see if they will at least pay half. Letter for Brian will be drafted after final amount is discussed with him.
-Stuart gave money ($80) to Jason to deposit for the remotes. Stuart also gave invoice and they will deduct off the cost for the remotes that were not purchased.
-Set of keys for gate box given to Jason.

b. Dogs and Cats: Fines to be sent to homeowners with dogs that are off leash.

3' fence portion has been removed. Stuart removed for the homeowner and homeowner asked to keep the slats and so they were left on lawn.

c. Board member duties:
Jeanine as treasurer to be kept up to date on finances for any questions.
Michelle's title to be changed to member-at-large. Pass unanimous. Bernice to continue to be Vice President.  Change on newsletter and blog.

d. Next community board meeting:
Meet in April at library in evening. Set up extra time for board to meet prior. Give out new gate code. Set up community clean up day. Do a neighborhood breakfast after.

e. Snow removal and landscaping:
Company to come out tomorrow to put down more salt and then will come back through and plow.  Will be charged for salt but not plow.  Problem with parking lots being plowed because of vehicles parked in there.  Bernice to let neighbors know on her street to please move for tomorrow morning.

Inoperable vehicle in south parking lot. Warning to be given.
Jason to set up tow company and to have signs posted with towing information.

Wait to see how they do with snow removal before deciding on landscape bid.

f. Finalize newsletter for January:

Add in newsletter to manually close man gates.

Remove part about overflow parking. Strongly discourage parking in lots.

Have newsletter ready to send out this month…change wording to say we hope you enjoy the holidays rather than we hope you enjoyed…

Meeting adjourn. Pass unanimous.
